Privacy Statement
Phi Sigma Rho recognizes that security and
privacy are important issues for users of the Phi Sigma Rho
website ("Website"). This Privacy Statement (“Statement”) sets
forth the practices for the collection and use of information
relating to the Website. By using the Website, you consent to
the collection and use of such information as described in this
Statement. We may modify this Statement at any time, and,
accordingly, we urge you to frequently review the Statement.
What information do we collect?
When using portions of the Website, registering for event, or
ordering products, you may be asked to provide personally
identifiable information including but not limited to contact
information (such as your name, email and mailing addresses,
phone number, and member number) and demographic information
(such as position and affiliation). You may always refuse to
provide your personal information, and this may lead to your
inability to use some of the Website. Requests for information
may be forwarded as needed to best respond to a specific
request. Under some circumstances, we may retain emails and
other information sent to us for internal administrative
purposes and to help us better serve our members.
Web servers automatically collect information about visitors,
and ours may do so as well. We may collect your domain type,
browser version, service provider, operating system, IP address
and areas of the Website visited for the purpose of improving
this Website. We may also use cookies, which is data stored on
the user’s hard drive containing information about the user.
Most internet browsers allow you to erase cookies from your
computer hard drive and block cookies. Please refer to the
instructions of your browser to learn how it handles cookies.
The Website may contain links to other sites on the Internet
that are owned and operated by third parties. Phi Sigma Rho is
not responsible for the collection or use of your information at
any third party website.
How is your information used?
We may check the personal information provided to us against
information we have in our membership database. We do this to
ensure that we maintain the most current and accurate
information about our members. Our database may contain your
name, position, affiliation, addresses, phone number, and member
number. Our database may also contain additional information
including but not limited to: site registration, offices and
committees held, meetings and events attended, and products
purchased.
We use personal information for the purposes of: administering
and improving the Website; sending newsletters or announcements
that may be of interest to you; notifying you of events and
products; processing your orders and requests; providing
internet security; and meeting legal requirements. Phi Sigma Rho
will not sell your personal information. We may work with
business affiliates who may perform functions on our behalf
(such as providing promotional materials, managing data,
fulfilling orders, or processing credit card payments). They
have access to your personal information only to the extent
necessary to perform their functions and shall not be authorized
by Phi Sigma Rho to use it for any other purpose. If you have
questions about how your personal information is used, please
contact us.
Use and Requests of Member Contact Information
Use of Member Contact Information
Phi Sigma Rho understands the need to maintain the ability for
our members to connect with one another while still protecting
the privacy of our members. Due to the growing issues
surrounding the inappropriate use of member contact information
(such as members using information to sell a product or
service), the following statement will be included with any
disclosed list or directory of members’ contact information:
“This directory is provided for the convenience of the members
of Phi Sigma Rho, so that they may establish contact with
members and volunteers for the sole purpose of conducting Phi
Sigma Rho business. The contact information in this directory
may not be used for any personal or commercial gain including
but not limited to: scholarships and philanthropic causes
unrelated to Phi Sigma Rho, business ventures, political
campaigns, etc. Members who are found to be using the directory
information in an unauthorized manner will be sent a warning by
the National Council and, depending on the extent of the
violation, may also be fined, removed from Sorority office, and
suspended or expelled from membership by the National Council.”
Requests of Member Contact Information
Members’ contact information from the Phi Sigma Rho membership
database may be considered for disclosure to members who
demonstrate good intentions, are acting in good faith, and who
are only proceeding for specific reasons. Terms and conditions
governing the availability of the information shall be as
follows:
1. The member must make her request for the information by
letter to the Executive Director at least 30 days prior to the
time the information is to be made available. The request letter
must specifically list the information sought and the purpose
and/or intended use of the information.
2. The Executive Director will respond within two weeks stating
whether or not the member has stated a proper purpose and/or
intended use for the information. If the request is granted, the
response will also state if the information is available as
requested or if there are any changes to the information.
3. A form containing the statement set forth below will be sent
to the member for her to sign, date, and return to the Executive
Director before a date is set for the information release:
"I recognize that the information I am receiving is privileged
and confidential, and I agree to use such information solely and
exclusively for the purposes described in my request letter. I
further agree to keep the information provided to me strictly
confidential, and I agree to not disclose any such information
to any person whatsoever without the express written consent of
Phi Sigma Rho. I agree to indemnify and hold Phi Sigma Rho
harmless from and against any claims or causes of action which
in any way relate to the unauthorized use of the information
received. In the event of any unauthorized use of the
information, I acknowledge that Phi Sigma Rho will be entitled
to seek injunctive or other equitable relief, in addition to
money damages."
